UPDATE 4/7/21

COVID-19 Guidance for On-campus Employee Face-to-face Meetings

Kirkwood employees are now allowed to schedule and attend face-to-face meetings with each other, but must adhere to the following protocols:

(These protocols apply to everyone attending the meeting, regardless of if they have received a COVID-19 vaccination.)

  • Each participant agrees to, and is comfortable meeting in, a face-to-face environment.
  • Anyone not comfortable with meeting in-person may request to attend via Zoom.
  • Participants should wipe-in and wipe-out of their seating location.
  • Six feet of social distance must be maintained at all times.
    • Rooms with posted capacities must be followed.
    • Furniture may be altered to accommodate social distancing, but at the conclusion of the meeting, the room must be returned to the state it was originally.
    • To accommodate more participants, larger rooms may be reserved using 25Live.
  • Masks must be worn at all times by everyone in attendance, including anyone who may be speaking or presenting. Masks must cover both the mouth and nose.
  • Food and drink consumption are not allowed in the meeting room.

As Kirkwood has returned to on-campus operations, it is critical that we all remain focused on prevention efforts aimed at limiting the spread of COVID-19 on our campuses. PLEASE REVIEW the following REQUIREMENTS and GUIDELINES for all on-campus employees this fall:

  • The Employee Health Check on MyHub must be completed each day before coming to campus.
  • Masks are required on campus.

Kirkwood does not allow gaiters or face shields* (when worn without a mask) as appropriate face coverings. Students, faculty, staff, and visitors are required to wear non-vented face masks in all college facilities, including classrooms, unless alone in a private office or room. Masks should also be worn outside when social distancing is not possible. Appropriate face coverings include cloth masks or disposable masks that cover both the mouth and nose. Students, faculty, and staff may wear face shields for additional protection so long as they are worn with a face mask.

*Faculty may only wear face shields in the classroom where the faculty member determines that instruction requires an unobstructed view of the face. Instructors wearing a face shield will be required to maintain a minimum distance of 6 feet from students at all times, and must remain at the front of the classroom while wearing the shield. Students may wear face shields where the student has received an accommodation through Accommodation Services. All parties should be aware that an individual wearing a face shield who would come into contact with a COVID-positive person without a mask is considered an exposure.

  • Employees with shared offices, workstations, and partial cubicles must wear a non-vented mask.
If a person is in a private office or four-walled cubicle, masks are not required. A mask is not required at reception areas where the reception employee is behind a plexiglass shield.
  • Social distancing of 6 feet must be maintained while at work.
Lunch and meal breaks should be taken individually, 6 feet apart and not in groups. Videoconferencing is still the preferred method of conducting meetings.
  • No food or drink will be allowed in classrooms.
As part of the new COVID-19 safety requirements, food and drink are not allowed in any Kirkwood classroom.
  • Prepackaged food and drinks are available for purchase.
Prepackaged food and drink items are available for purchase at the Linn Hall café and the bookstore on main campus as well as the café on the Iowa City Campus.
  • All employees must frequently clean and disinfect high-touch surfaces with college-provided supplies.
Any shared equipment (i.e., computers, printers, tools, etc.) shall be disinfected with the appropriate cleaning supplies prior to and following use.
  • All employees are encouraged to wash their hands with soap and water frequently while on campus.

Staff FAQ

No. The college will make students aware of expectations, resources, and safety protocols in multiple ways, including on this website and through direct communication with students. Faculty also are being asked to share this information with their classes.

If work time is missed because of COVID-19 symptoms, then a doctor's note will be required to return.

Yes. Faculty and staff are encouraged to frequently clean and disinfect high-touch surfaces with Kirkwood-provided supplies. Any shared equipment (i.e., computers, printers, tools, etc.) shall be disinfected with the appropriate cleaning products supplied by custodial services prior to and following use. If there is a confirmed COVID case on campus, classrooms will be closed for deep cleaning. This will not be done by faculty or staff.

If you are located in a shared office, either wear a mask if in the office at the same time as the other person, or stagger times to prevent being in the same space during the same time. Work with your supervisor, staff, or faculty for specific scheduling.

Whenever possible, meetings should be done virtually. Face-to-face discussion may happen in the classroom before/after class if needed, but students and faculty need to wear masks and adhere to social distancing guidelines.

Yes. You can see the processes for different situations here.

There are signs throughout Kirkwood buildings, including classrooms.

You must follow the college's PPE guidelines. If you cannot due to a health condition, you must contact HR for further discussion to see if an accommodation is reasonable and appropriate. Plexiglass is being installed in the reception areas for added protection.

No. As part of the new COVID-19 safety requirements, food and drink will not be allowed in any Kirkwood classroom.

This policy is another measure that has been implemented to help ensure the health and safety of the Kirkwood community. Removing masks to eat or drink within a classroom potentially puts others at risk. In fact, if someone in a class is diagnosed with COVID-19 and took their mask off for any reason while in class, the entire class would need to self-quarantine for 14 days. However, if the individual diagnosed kept their mask on at all times while in class, it’s likely the rest of the class would not need to self-quarantine for 14 days. For instances when a drink of water while in class is absolutely necessary, consult with your instructor regarding options, like taking a quick break to get a drink outside the classroom.

At this time, food and drink can be consumed anyplace on campus (while practicing social distancing) except classrooms, the library, or computer labs.

Prepackaged food and drink items are available for purchase at the Linn Hall café and the bookstore on main campus as well as the café on the Iowa City Campus.

Grab and go food service are available in Linn Hall and the main campus bookstore.

Linn Hall Food Service Hours:
Monday – Thursday from 8 a.m. – 1 p.m.
Friday from 8 a.m. - noon

Food offered at the main campus bookstore will be available at 8 a.m. Monday – Friday and will be first come, first serve. There will be no self serve coffee available in the bookstore due to COVID-19 restrictions.

If you have other questions, please contact your supervisor.
